Collaborating as language service provider group offered my colleagues from the Middlebury Institute of International Studies of Monterey and I an interesting chance to blend cutting-edge translation technology with real-world service practices and client interactions. Through this synergy, we integrated translation tools, like Trados (a Computer-Assisted Translation tool), InDesign, Google and other management tolls into our workflow for the experience. By engaging in provider-client dynamics, we practiced how to better comprehend a client’s specific needs, adapt our approaches, our teamwork, and deliver tailored linguistic solutions. This experience served as a combination of advanced technology with the art of human translation. A cohesive blend of innovation and personalized service in meeting future client requirements within the dynamic world of language services.
For this project, we experimented the dynamics of working as a Language Service Provider, or LSP, in the creation of a Statement of Work (SOW), establishment of different roles, execution of translation work with Trados Studio 2022, and completion of deliverables.
The portions of this SOW was divided into parts for individual elaboration, although we collectively discussed and assure that every one of the items included were expressed in a concise and complete way. For execution of translation work, each member had the opportunity of having an specific role, from linguists to project managers.
We based our translation rates for this project on the current market estimates, consulting with experienced translators, and the Proz. web page.
The Client
Our client was the Monterey Aquarium, with the request of translation one of their texts into four languages: Portuguese, Japanese, Korean, and Chinese.

Besides the execution of the translations, we proposed to our clients the following deliverables:
- Pseudo Translations
- Translation Memories
- Term Bases
File Types
Providing all files in consisting formatting and type was one of the adjustments we have learned to be very important. Stablishing good methods of communication and guidelines for deliverables is one key point of good workflow and use of technology to our advantage. Here’s a little sample of a Term Base delivered for Portuguese.
Pseudo Translation
All deliverables were organized for clarity and consistency for our client’s good understanding of our use of technology. This pseudo translation of original content into Portuguese was also offered as an educational opportunity for effective formatting and visuals in future projects with this client.
Challenges and observations
An evident challenge experienced in this project was the necessity of good workflow and communication methods. Accessibly to cloud based platforms for shared documents for collaboration and effective tools of management and communication will make a difference for future projects
Handling file formats and naming in a uniform way is a practice that helps maintain consistency and clarity. Sometimes it takes a little practice to get used to handling different file types. If guidelines for file types and naming are not followed, extra communication is necessary.
Clear information of rates and fuzzy matches rules was a point of debate and research in this project. As key element of our SOW and proposal of costs, to understand how rates will be reflected in translation proposal reports for future projects is also a great advantage of working with CAT tools, since guidelines of project preparation in Trados 2022 can be preestablished. This will also contribute to maintain consistency and quality of work.
Guidelines for text segmentation and translation project preparation in Trados is also a challenging yet necessary step for consistency and quality, specially when Translation Memories are added into proposals for future projects.
takeaways and reflections
- There were some very valuable challenges and take aways from this project. Handling Trados 2022 and other technological tools for multiple tasks proved to be not only decisive for a quick turn around with a Statement of Work for our client but also important for our workflow and quality of work.
- The creation of equivalent and identical file types across languages: deliverables should be organized in a way to be be easily accessible by clients with no CAT tools;
- Creation of segmentation rules across languages for translation processes;
- Pre-establish rules for file naming, stop rules, text formatting, avoiding unnecessary work.
so what did that feel like?
Working collaboratively as a team of language service providers was not only a great way of creating a bond as colleagues but it also served as an excellent training ground for various essential skills. It provided a platform for further mastering CAT tools, crafting comprehensive statements of work, experimenting with different and efficient communication methods between peers, and improving the art of delivering clear and compelling presentations. This experience fostered unity among us as team members. It enhanced our understanding of each other’s strengths in promoting effective teamwork. Above all , it improved our proficiency in leveraging technology while refining our abilities to communicate concisely and present information effectively, marking it as an invaluable learning and growth opportunity for all involved.
